Planning guide
How do you plan a video game truck party?
Short answer
Book your date online, make sure there is about 55 feet of flat street or driveway, invite guests to arrive 30 minutes to an hour before the start, and feed everyone outside first. The Game Coach handles setup, the games and teardown.
The rest is a handful of decisions — how long, how many guests, which game ratings — and a few things to do on the day. Here is the whole list, in order.
Key takeaways
- Book early for weekends — they go first, and May graduation weekends go months ahead.
- Payment in full holds the date once we accept the booking.
- Clear about 55 feet of flat, paved curb and tell the neighbors.
- Decide on E-rated only before the party, and tell the coach at the start.
- An adult stays on site; the Game Coach does the rest.
When you book
- Pick the day. Monday to Thursday is $350 for two hours; Friday to Sunday is $400. Weekends go first.
- Pick the length. Two hours is standard; extra hours are $125 each. Teen and graduation parties often go to three.
- Count the guests. Up to 28 play at once per trailer. Over that, plan on rotation or a second trailer — see how many kids can play.
- Check the space. You need about 55 feet of flat, hardened surface, usually the street at the end of your driveway. See how much space you need.
- Book on the online calendar. It takes about four minutes. Once we accept, you get a confirmation email with a payment link, and payment is due in full — within two hours of acceptance — to hold the date.
The week before
- Tell the neighbors. We are borrowing some curb for a few hours.
- Check your HOA rules on commercial vehicles if your association is strict.
- Decide on ratings. If you want E-rated games only, or nothing with shooting or fighting, settle it now so you can tell the coach at the start.
- Check the ages. Games suit 7 and up, and children under 5 do not go inside. See what age a game truck suits.
- Plan the food outside. Nothing is eaten inside the trailer. In summer, add shade and cold water for guests waiting their turn.
- Watch the forecast in monsoon season. If severe weather is coming, contact us early.
On the day
- Clear the spot before we arrive — about 30 minutes before your start time. We may need to block the driveway.
- Have guests arrive 30 minutes to an hour early, so everyone has eaten by the time the doors open.
- Tell the Game Coach about ratings, photos and anything else before the party starts. The coach may take photos inside the trailer; if you would rather they did not, say so at the start.
- Keep an adult on site the whole time. The Game Coach runs the games; you stay the host.
After the party
Teardown happens on our time, not yours. Tips for the Game Coach are welcome but never expected. And if it was a hit, the easiest way to lock in next year is to book the date as soon as you know it.
