Planning guide

How do you book a game truck for a school event or fundraiser?

Short answer

Book the date on the online calendar like any customer, then settle by purchase order or check with us afterwards. A weekday school event is $350 for two hours, for second grade and up, with a Game Coach running the line.

The trailer brings its own power and internet, so it needs nothing from the building. For big events, both trailers put up to 56 students on controllers at once, each with its own coach.

Key takeaways

  • Book online first; purchase orders and checks are handled after the date is held.
  • Elementary events start at second grade — a safety line we hold.
  • Weekday pricing: $350 for two hours, $125 for each extra hour.
  • Own generator and Starlink: no school power or Wi-Fi needed.
  • Ratings are yours to set — E-rated only on request.

What schools book it for

  • Booster carnivals and fundraisers
  • After-prom and grad nights
  • Honor roll and attendance reward days
  • Summer camps and end-of-term celebrations

For a fundraiser, the trailer is the attraction that keeps people at the event. For a reward day, it is the reward worth earning.

Booking and paying as a school

Schools, churches and non-profits book on the online calendar the same way as everyone else — there is no quote to wait for first. Once the date is held, we handle the purchase order or check paperwork with your office.

Weekday events are $350 for two hours and weekend events $400, with extra hours at $125. Travel is free within 25 miles of North Las Vegas; past that, a fee based on driving distance applies. The full breakdown is in what a game truck party costs.

What it needs from the school

  • About 55 feet of flat, paved space — a parking lot usually works. See how much space a game truck needs.
  • Nothing else technical. Our own generator and Starlink mean no building power and no school Wi-Fi.
  • Adult supervision on site. The Game Coach runs the queue, rotation and equipment, so it is not another station your staff has to operate — but a responsible adult must be present throughout.

How many students it handles

One trailer takes up to 28 students at once across eight indoor and outdoor stations, and the Game Coach rotates a lot of students through in a couple of hours. For the biggest events, both trailers put up to 56 students on controllers at the same time — two bookings for the same time on the same day.

Running it as a fundraiser

Schools structure this in different ways — game time included in carnival admission, tickets for timed sessions, or a reward for a fundraising goal. Whatever the format, the cost side is fixed: one price per booking, not per student.

An example, using our prices: a two-hour weekday event costs $350. If 120 students each pay $5 for a session, that is $600 raised against the $350 booking. Your numbers will differ, and your school or PTA will have its own rules on how fundraisers run — check those first.

Keeping the content right for the age

The library runs from E to M ratings. Tell us E-rated only before the event starts and everything rated T or M is left out before a single student sits down. The same applies to games with shooting, fighting or violence.

  • Yes. Tell the Game Coach before the event starts, and nothing rated T or M is played.

  • Up to 28 per trailer, or up to 56 with both trailers. Larger groups rotate through, with the Game Coach managing the line.
